1. Who we are

Ehrler Systems ("we", "us") provides an AI sales assistant for websites. For the personal data described here, Ehrler Systems acts as the data controller. For personal data contained in conversations on your own website, you are the controller and we act as your processor.

2. Personal data we collect and why

• Account data (name, email, password credentials, company name) — to create and administer your account. Legal basis: performance of a contract.
• Service content (website content you train the AI on, conversation transcripts, leads and contacts you store) — to provide the Service. Legal basis: performance of a contract.
• Usage and telemetry (feature usage, log data, device identifiers, IP address) — for security, fraud prevention, troubleshooting and product improvement. Legal basis: legitimate interests.
• Support messages — to answer your questions. Legal basis: legitimate interests.
• Marketing contact details — to send product updates where you have opted in. Legal basis: consent, withdrawable at any time.
• Compliance records — where we are required to keep them. Legal basis: legal obligation.

3. Who we share data with

• Service providers / subprocessors — hosting, database, AI model providers, analytics and support tooling, acting on our instructions.
• Paddle, our Merchant of Record, for the sale of our products, subscription management, payments, tax compliance and invoicing.
• Professional advisers — legal and accounting, where necessary.
• Authorities — where required by law.

We do not sell personal data.

4. International transfers

Personal data may be processed outside your country, including outside the UK/EEA. Where it is, we rely on appropriate safeguards such as adequacy decisions or Standard Contractual Clauses.

5. Retention

We keep account and service data for as long as your account is active and for up to 12 months after closure, unless a longer period is required by law (for example tax records). After that it is deleted or anonymised.

6. Your rights

Depending on where you live, you may have the right to access, rectify, erase, restrict or port your personal data, to object to processing, and to withdraw consent. 7. Security

We use appropriate technical and organisational measures including encryption in transit and at rest, access controls, least-privilege permissions and logging.

8. Cookies

We use essential cookies to keep you signed in and secure the Service, and analytics cookies to understand product usage. You can manage non-essential cookies through your browser settings or our cookie preferences where offered.
